Privacy Policy

Draft pending counsel review. Final policy may differ in legally operative wording. The substance below reflects our intended practice.

1. Who we are

HIS Pods, Inc. is a non-profit corporation registered in Florida. Our mailing address is 7901 4th St N Ste 12219, St. Petersburg, FL 33702. You can reach our team at learn@hispods.com.

2. What we collect

From parents: email address, optional first name, billing information (only after a payment method is added), and any communications you send us.

From students: first name, current grade, and learning activity (responses to assessment questions, lessons completed, time spent). We do not collect a student's date of birth, address, phone number, or any government identifier.

Automatically: standard web analytics — pages viewed, device type, referring source. We do not use third-party advertising cookies, fingerprinting, or session-replay tools.

3. What we do not do

  • We do not sell student or parent data to anyone, ever.
  • We do not share student data with advertisers.
  • We do not use student data to train external AI models. Internal use of response data to improve our own placement and mastery models is permitted, and that data never leaves our systems.
  • We do not collect facial images or biometric data.
  • We do not make automated decisions about students that have legal or similarly significant effects.

4. Children's privacy (COPPA)

The Children's Online Privacy Protection Act (COPPA) regulates the collection of personal information from children under 13. HIS Pods is intended for use by parents and educators on behalf of children. The parent — not the child — creates the account and provides consent for the limited data described above.

A parent may at any time review the data associated with their child, request its deletion, or revoke consent. Contact us at the email above with the subject line “COPPA request” and we will respond within seven business days.

5. Student records (FERPA)

For students using HIS Pods through a partner school or co-op, we operate as a service provider under FERPA. The school is the “educational agency” and retains control of the student record. We do not disclose student records to third parties without the school's authorization.

6. Where data lives

Account and progress data is stored in Microsoft Azure Table Storage in the United States. Email is sent through Postmark. Payment processing is handled by Stripe; we do not store credit card numbers on our systems. Lifecycle email automation runs through Customer.io.

7. How long we keep data

Active subscribers: data is retained while your subscription is active.

Trial accounts that did not convert: data is retained for ninety days after the trial ends, then deleted unless you opt to resume.

Cancelled subscribers: data is retained for one calendar year, after which it is anonymized or deleted. You may request immediate deletion at any time.

8. Your rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or export the data we hold about you or your child. Email us with the subject line “Privacy request” to exercise any of these rights. We respond within thirty days.

9. Security

All traffic to our application is encrypted in transit (TLS 1.2+). At-rest data is encrypted by Azure Storage. We follow the principle of least privilege internally; only personnel with a business need can access identifiable data.

10. Changes to this policy

We will email all account holders if we materially change the substance of how we collect or use data. The current version is dated at the top of this page; prior versions are kept on file and available on request.
